Data collection and processing

Every access to our website and every retrieval of a file stored on the website is logged. The storage serves internal system-related and statistical purposes.

To be logged:

  • Name of the retrieved file,
  • Date and time of retrieval,
  • volume of data transferred,
  • Message about successful retrieval,
  • operating system used,
  • Browser and browser type,
  • the Internet page from which was redirected,
  • the Internet service provider,
  • visited pages and
  • requesting domain.

In addition, the IP addresses of the requesting computers are logged. However, the responsible party does not draw any conclusions about a person.

Newsletter with success measurement

Insofar as you order our electronic newsletter, your personal data will be processed for the purpose of regularly sending our newsletter on the basis of Art. 6 (1) (1) lit. a) GDPR. The logging of the registration process is based on our legitimate interests pursuant to Art. 6 (1) (1) lit. f) GDPR and serves as proof of consent to receive the newsletter.

The registration for our newsletter takes place in a so-called double opt-in process. This means that after registration you will receive an e-mail in which you are asked to confirm your registration. This confirmation is necessary so that no one can register with foreign e-mail addresses. The registrations for the newsletter are logged in order to be able to prove the registration process according to the legal requirements. This includes the storage of the registration and confirmation time, as well as the IP address. Likewise, the changes to your data stored with the shipping service provider are logged.

In case of non-consent, it is unfortunately not possible for us to provide you with our newsletter. An automated decision-making process is not carried out.

The newsletters contain a so-called "web beacon", i.e. a pixel-sized file that is retrieved from the server of the dispatch service provider when the newsletter is opened. Within the scope of this retrieval, technical information, such as information about the browser and your system, as well as your IP address and the time of the retrieval are initially collected. This information is used for the technical improvement of the services based on the technical data or the target groups and their reading behavior based on their retrieval locations (which can be determined with the help of the IP address) or the access times in accordance with Art. 6 (1) (1) lit. f) GDPR. The statistical surveys also include the determination of whether the newsletters are opened, when they are opened and which links are clicked. This information is anonymized, a conclusion to your e-mail address is not possible. Microsoft Dynamics 365 Marketing

We use Microsoft Dynamics 365 Marketing (Microsoft Ireland Operations Limited, One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland; hereinafter "Microsoft Dynamics 365 Marketing") for registration processing of our services, such as newsletters. Microsoft Dynamics 365 Marketing is a service that can be used, among other things, to organize and analyze the sending of newsletters. The data you enter for the purpose of receiving newsletters is stored on Microsoft's servers in Dublin, Ireland and in Amsterdam, Netherlands. Our newsletters sent with Microsoft Dynamics 365 Marketing allow us to analyze the behavior of newsletter recipients. Here, among other things, it can be analyzed how many recipients have opened the newsletter message and how often which link in the newsletter was clicked. With the help of so-called conversion tracking, it can also be analyzed whether a predefined action (e.g. registration for one of our services on our website) has taken place after clicking on the link in the newsletter. This behavioral data is stored on the respective contact record in our CRM system based on Microsoft Dynamics 365 Sales and deleted after one year.

The legal basis for the collection is your consent in accordance with Section 25 (1) TTDSG. You have the right to revoke your consent at any time with effect for the future. Online application

Fundamentals and purposes of processing personal data collected from application documents and during the application process

The personal data you provide will be collected, processed and used for the purpose of deciding whether to establish an employment relationship in accordance with Section 26 (1) of the German Federal Data Protection Act (BDSG). The provision of your personal data is necessary for the processing of the application process and for the decision on the establishment of an employment relationship. If you do not provide this information, we will unfortunately not be able to consider you in the selection process for filling the advertised position.

Automated decision making is not performed.

We will provide you with the required information pursuant to Art. 13 GDPR upon receipt of your application by means of a reply e-mail.

In particular, the following data is collected during the process:

  • name (first and last names)
  • e-mail address
  • phone number
  • LinkedIn profile (optional)
  • channel through which you found us

Furthermore, you can choose to upload expressive documents such as a cover letter, your CV and reference letters. These may contain additional personal data such as date of birth, address etc.

Only authorized HR staff and/or staff involved in the application process have access to your data.

The personal data is stored, as a rule, exclusively for the purpose of filling the vacancy for which you have applied.

Your data will be stored for a period of 90 days after the application process has been concluded. This is usually done to fulfill legal requirements and/or defending ourselves against any claims arising from legal provisions. After this period, we are obligated to delete or anonymize your data. In case of anonymization, the data will only be available to us in the form of so-called metadata, without any direct personal reference, for statistical analysis (for example, share of male and/or female applicants, number of applications per specified period of time etc.).

If you decide to join the talent pool, the entire company may access your personal data in the event of any job assignments and subsequently contact you to invite you for an interview. The talent pool can be joined by agreeing to be invited by a recruiter or proactively via the "Get in touch" form. Your data is processed on the basis of Art. 6 (1) (1) lit. a) GDPR

Should you be offered and accept a position with us during the application process, we will store the personal data collected as part of the application process for at least the duration of your employment.

Disclosure of data to third parties

Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. This database is operated by Personio GmbH, which offers a human resource and applicant management software solution (https://www.personio.com/legal-notice/). In this context, Personio is our processor under article 28 of the GDPR. In this case, the processing is based on an agreement for the processing of orders between us as the controller and Personio.

Rights of data subjects

If we as the controller process personal data, you as the data subject have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and the purpose of the processing, in particular the right of access (article 15 of the GDPR) and the rights to rectification (article 16 of the GDPR), erasure (article 17 of the GDPR), restriction of processing (article 18 of the GDPR), and data portability (article 20 of the GDPR), as well as the right to object (article 21 of the GDPR). This data is transmitted to us as the organizer of the webinar by the provider in encrypted form. With the registration for participation you will receive further information and reminders before and after the webinar by e-mail.

Your personal registration data will be stored by us for the duration of the contractual relationship and for the duration of the statutory retention period and then deleted or blocked.

Web conferencing tools

We want to make communication with prospects, customers and users easier and adapted to the current technical and practical reality. Therefore, we use conferencing tools for video and audio conferencing. You can find out which individual web conferencing tools we use in the following section.

As a rule, data is first collected that represents metadata and technical data of the users and the conferences. Metadata includes, for example, the duration of the conference, the period of participation, the number of participants or the name and/or description of the meeting. Technical data are such as the IP addresses and device as well as hardware information of the participants, such as MAC addresses, device and operating systems or information about peripheral devices and connection quality. In the case of optional participation via a cell phone, further data may be stored in addition to the telephone number. In addition, the data collected includes all data that you provide for the use of the service (in some cases also optionally). The usual data here are the name, telephone number, e-mail address and other log and profile data.

During a meeting in a web conferencing tool, video and audio data recorded by your microphone/camera, as well as any content that can be uploaded (messages in chats, surveys or similar, as well as other files such as presentation documents) can be processed, logged or displayed. When optionally using the recording function of web conferences, this data can be stored permanently, also on servers of service providers.

However, we would like to point out that we generally have no influence on what data is collected. Accordingly, failure to provide the aforementioned data may mean that it is not possible for you to participate in the web conference. No automated decision-making will be carried out. Details on the processing of data by the services concerned can be found in the data protection notices of the respective services, which are designated in the following section.

We use the web conferencing tools to communicate with you in a simple, effective and direct way. The legal basis for this is our legitimate interest pursuant to Art. 6 (1) (1) lit. f) GDPR. In the case of an existing contractual relationship, the use of such a service serves the purpose of providing a service, for which the legal basis of the processing is Art. 6 (1) (1) lit. b) GDPR. The same legal basis arises for the registration as well as the participation in an online webinar offered by us. Microsoft Teams

We use the web conferencing tool Microsoft Teams. This is an application of Microsoft Corporation (One Microsoft Way, Redmond, WA 98052-6399, USA; hereinafter: "Microsoft").

The personal data you provide will be collected and processed exclusively for the purpose of conducting external and internal video conferences as part of a contractual relationship pursuant to Art. 6 (1) (1) lit. b) GDPR. 

If no contractual relationship exists, the legal basis is Art. 6 (1) (1) lit. f) GDPR. Our interest here is the effective communication and exchange of the parties involved.

The provision of your personal data is necessary for the implementation of the video conferences. If you do not provide it, you will unfortunately not be able to participate. Automated decision-making will not be carried out.

We would like to get in touch with you and other interested parties, customers and users. We use various social networks for this purpose. You can find out which individual social networks we use in the following section.

As a rule, data is collected that is used for market research and advertising purposes.
